Printing Reports

Schedule Star includes numerous built-in reports and schedules for printing and saving to files. Most of these printing features are centralized on the Print Reports screen. Additional reports are available in the Athlete Information Center and other areas of the program.

This section outlines the different types of print-outs and how to generate them. Several sample printouts are included at the end of the manual binder. We encourage you to experiment with Schedule Star's printing features and find the reports that best suit your needs and preferences.

The Print Reports Screen

Most of Schedule Star's printing features are centralized on the Print Reports screen. From the main calendar screen click the Print button below the event list to open the Print Reports screen.

The upper part of the screen contains several radio buttons and checkboxes that toggle filtering options for specifying what data you wish to include on the print-outs. The lower part of the screen lists the different types of reports available, with additional filters specific to certain types of reports. The pull-down lists and checkboxes to the right of these option let you further limit the information that will appear on the report.

Format

Click a radio button to choose the format for this report: Daily Listing, Weekly, Monthly, or Large Monthly.

The Daily Listing format is a detailed, day-by-day summary of events. The Weekly format is a week-by-week listing of events that is less detailed but more graphic in appearance. The Monthly format prints a calendar with events abbreviated and filled in for each date. The Large Monthly is similar to the Monthly but with a large font for events.

Click a radio button to choose the output for this report. Select Print to send the report to your default printer.

Choosing Screen will display the report on-screen. This lets you preview the report before actually printing it. Clicking the Print button with the output set to Screen opens the Print Preview screen. To zoom in on the report, move the mouse pointer over the report until it turns into a magnifying glass, or click the Zoom In button to the right.

If your report is more than one page, use the Next and Previous buttons to move forward or backward a page. To jump to a certain page, type or use the up and down arrow buttons to enter a page number in the Page field, then click the Page button to go to that page. Click the cursor over the report again or use the Zoom Out button to zoom back out. When you are finished previewing the report, click OK to return to the Print Reports screen.

Selecting Prompted as the output and clicking Print brings up your standard Windows printer prompt.

Printer Prompt

This option is useful if you want to adjust the print range to print certain pages of the report or adjust the print quality (dpi). The prompt also lets you print to a different printer than your default one (such as a networked printer) by clicking the Setup button and choosing a specific printer from the list.

Choosing Excel file as the output will export the report information to a spreadsheet file in Microsoft Excel format. Choosing this option and clicking Print will open the Export File window prompting you for a file name.

Export Team Report

Click into the "Filename" field to change the name of the file (the default name is output.xls). You can also specify where to save the file by entering a pathway. For example, typing "A:report1.xls" will save the file to the floppy disk in drive A as report1.xls. When saving to a folder, include backslashes (example: "C:\reports\report1.xls"). If no path is specified, the file will be saved to the folder on your hard drive where the Schedule Star is installed (C:\AOA if installed to the default directory).

Note to Windows95/98/NT users: When specifying a folder to save the exported file to, you MUST use the MS-DOS name for folders with long names. For example, to save the file to your My Documents folder, you would enter "C:\mydocu~1\report1.xls". Typing the full name of the folder will result in an "Invalid path or filename" error. You can obtain the MS-DOS name for a folder by clicking on it once with the right mouse button and choosing Properties.

Date Range

Specify the date range of events you want to include on this report by typing the start and end dates, or by clicking the To: and From: buttons and choosing the start and end dates from the pop-up calendars. All events on and between these dates will appear on this report. To include just one day of events, set the start and end dates to that same day.

The date range does not necessarily have to correspond with the format. For example, the Daily Listing format can be used for a report with a date range of more than one day. Similarly, the Weekly format can be printed for more than one week of events, even though the date range will default to one week when you pick the Weekly format.

Place

Place Bar

The Place filter lets you exclude either home or away events from this report. Clicking the "Home Only" radio button includes ONLY home events on this report. Clicking the "Away Only" radio button includes ONLY away events on this report. Leave the "Both" radio button selected if you want to include both home and away events (the default setting).

Include These Events

Checking or unchecking these checkboxes lets you specify what kinds of events to include on this report. Each checkbox corresponds to an event type as set on the Sporting Event screen. Checked types will appear on this report. Unchecked types will be excluded. The default setting includes all event types. Click to uncheck a type.

League Filters

League Filter Bar

You can filter league events out of this report or restrict this report to just league events using the League filter. Click the "League Only" radio button to include ONLY league events and exclude all others. Click the "Non-league" radio button to exclude league events entirely. Leave the "All Events" radio button selected if you want to include all events regardless of league designations (the default setting).

For Team

Using the three "For Team" pull-down lists, you can narrow the report to include information on just one specific team.

From left to right, the pull-downs let you specify exactly which gender, level, and sport. If any one is left blank, the report will not use it as a filter. For example, if you select Boys for gender, leave the level blank, and pick Basketball for the sport, the report will include all Boys Basketball games regardless of level.

Instead of filtering just one level, you can include specific multiple levels using the Multi function. Click the Multi checkbox to the right of the pull-downs. This opens a screen with a list of available levels in the left list box.

To pick the levels to include on this report, click to highlight a choice in the Levels list, then click Add to move it to the Selection list. If you make a mistake, you can pull a level back off the Selection list by highlighting it and clicking the Remove button.

Click Done when finished. Notice that the pull-down list for levels is disabled since the Multi function overrides it. When you print this report, only the events matching the levels you picked for the Selection list will appear.

Report Types

The bottom half of the Print Reports screen contains all the different report types available for printing, along with some additional filters related to the specific report types. Use the radio buttons on the left to choose a report type. Use the checkboxes and pull-down lists to enable the additional filters on the right.

Note: Samples of these and other Schedule Star reports are included at the end of the manual. Please refer to the appendices for further details on each report.

The Team Schedule report will print the date, opponent, facility, team, and time for each event. This report is organized by team and is ideal for printing a detailed schedule highlighting a particular team or sport. Using the checkboxes to the right, you can print an alternate format of the report, include departure times and dismissal times, and list all the participants for Tourney events.

The Facility Schedule report prints the date, opponent, team, time, facility, and the From and To times for the facility. It is organized by facility, with the complete schedule for each facility clearly shown. Use the pull-down list to the right to narrow the report to just one facility.

The Opponent report prints the date, opponent, team, time, facility, and assigned officials and game help for home games. It is organized according to opponent and can be limited to one opponent by picking one from the pull-down to the right. Click the checkbox next to the pull-down list to print a separate page for each opponent.

The Officials and Game Help report prints officials' assignments to events, including positions and fees for each event. Contact numbers are also included for quick reference. The report is organized chronologically and separated by day. Total fees for each game and each day are also printed and totalled along with a grand total for the entire report. Pick an official from the pull-down list to print the report for just that official. The two check boxes to the right act as filters to let you print only assigned officials or only unassigned officials.

The Transportation report prints the starting time, the team, opponent, and the means of transportation to the event with departure and return times. The report is in chronological order by event. Use the pull-down to select just one transportation provider for the report.

The Master Schedule is the only report type available for use with the Weekly, Monthly, and Large Monthly formats as well as the Daily Listing format. This allows it to cover from a day to a season to an entire year. Clicking the checkbox switches the report to a spreadsheet grid format. As the name implies, this report resembles a master record of all events in the specified date range, including a wealth of information for each event.

The Score report prints a scoreboard for all events in the specified date range. Only those events with scores entered will appear on this report.

The Gate Receipts report prints a breakdown of ticket earnings for events in the specified date range from the Post Game figures entered from the Sporting Event screen.

The Dismissal Report prints early dismissal times for each event. This report is useful for distributing to the teaching staff to release athletes from class on time.

Report Printing

After choosing a report type and double-checking all the filter settings, click the Print button to generate the report.

Once the report is sent to the printer or exported to a file, Schedule Star returns to the Print Reports screen. You can adjust the settings and print more reports or click Done to exit back to the main calendar screen.

Printing Certificates

Schedule Star is designed to generate award certificates for participation and letters. The software is pre-programmed with alignments to print on several different certificate formats.

Once you have entered student information into the Student Directory and/or player information into the Athlete Information Center, generating the award certificates is simply a matter of loading the blank certificates into your printer, selecting the correct certificate format, and clicking a button.

Before You Print...

Before you use the certificate printing feature, we recommend performing some test printing and taking a few precautions to protect you printer and certificates.

Warning: If you have a laser printer, you will NOT be able to use thermographed (raised print) certificates. The heat necessary to complete the printing will char the thermographed printing, ruining the certificate. Use flat-printed certificates ONLY.

Note: If you have an ink-jet printer, you should be able to use the thermographed certificates. We recommend you test the certificates that you intend to use with your printer. Certain combinations of papers and printers will cause the ink to blot or not dry properly.

We urge you to extensively test your printer with different certificates. Also, CONSULT YOUR PRINTER'S MANUAL for recommended types and maximum weights of papers that can be used with your model of printer.

Finally, we recommend that you clean the print heads (Ink Jet Printer) or the paper path (Laser Printer) prior to printing certificates, and that you verify the alignment by printing a few certificates on plain paper prior to proceeding.

Printing Neff Certificates

The Neff Company offers a line of certificates designed to work specifically with Schedule Star. These certificates are pre-aligned and printed on parchment that has been tested to work with most printers. This makes the time-consuming task of printing award certificates as simple as loading the certificates into your printer and clicking Print. Printing Certificates from within Schedule Star also allows you to take advantage of the team rosters stored in the Athlete Information Center.

Note: To purchase these certificates, please contact your Neff Representative, and be certain to tell them you are using Schedule Star. There are specific guidelines for the certificates that are available for computer-aided generation. Your Neff representative has information on which fields can be changed and which ones are fixed. Deviating from the overall certificate specification will make the certificate incompatible with Schedule Star. The Neff Company can be reached directly at 800-232-6333.

There are two options on the Player screen for certificates. You can choose a Letter award or Participation award to be presented to each athlete.

From the main calendar screen, click the Teams button to open the Athlete Information Center. Use the pull-down lists to select a team for which you have already entered participants.

Click to highlight one of the participants, then click Modify to open the Player screen. Under Awards, you have the option of selecting Letter, Participation, or Other.

Award Checkboxes

Selecting Letter or Participation will allow you to print certificates. Other is a free-form area where you can indicate that the athlete has received another award, such as a pin or Chenille letter. These checkboxes are defaulted to blank. You MUST select each athlete on a team and click on the appropriate box to print certificates for those athletes.

Note: The Print Certificate button is provided for spot-printing a certificate for a single athlete. We DO NOT recommended using this button to print certificates for an entire team.

Once you have selected an award type for the team members, click on Done. Then click Team Reports to open the Team Reports Screen.

Select the Certificates radio button to enable the options to the right. Use the first pull-down list to select Letters or Participation certificates. Pick the code from the second pull-down that corresponds to the code on your Neff certificates. There are ten certificate options. If you are unsure of correct code number, select the correct certificate by reviewing the images in the next section. The certificate number is also clearly defined on the artwork approval provided to you from the Neff Company.

Note: Cert1 and Cert2 are legacy certificates that are included for backward compatibility. Coaches/AD Names and signatures are NOT available on Cert1 and Cert2.

Selecting AD/Coach Names will print the name of the head coach (as designated in the Athlete Information Center) and the Athletic Directors name (as printed on all other printouts) on the certificates. These signatures will print in the same calligraphy-style font as the athlete name and sport. If you installed a Custom Contract Signature Add-on, you will have the option of replacing the Athletic Director's signature with the scanned image of their signature.

After making these selections, make sure the Send To option is set to Printer, then click the Print button.

Other Reports

Aside from the reports on the Print Reports screen and certificates, you can generate additional printed reports from other areas of Schedule Star.

From the Sporting Event screen, you can print game reports and requisition reports (see "Other Features" in the Adding and Editing Events section).

Several reports related to teams and players are available in the Athlete Information Center (see 'Season and Team Reports' under "Players and Coaches" in the Teams and Eligibility section).

You can print address labels and lists from any of the Schedule Star databases. You can also print labels for team athletes from the Athlete Information Center. From the Coaches Directory, you can print a certification report from the Check Certifications feature. From the Student Directory, you can print student histories. (see the Information Databases section).
